You can contact us about this policy or your data using the form on our contact page.
What this policy covers
This policy explains how we handle personal data when you visit solarfunnel.io, try our demo, ask for a demo or get in touch, and when we contact solar businesses about our service. It also explains our role when installers use SolarFunnel on their own websites.
Information we collect
| When | What we collect | Why, and our lawful basis |
|---|---|---|
| You book a demo or contact us | Name, company, work email, phone, region, and anything you write in your message | To reply, arrange your demo and discuss our service. Lawful basis: our legitimate interests in responding to enquiries, and taking steps at your request before entering into a contract. |
| You become a customer | Contact and billing details, your branding, pricing and settings | To provide the service, take payment and keep records. Lawful basis: performance of our contract, and legal obligations such as tax and accounting records. |
| We contact solar businesses | Business contact details, such as a company name, a named contact, a work email or phone number, usually from the business's own website or public directories | To introduce our service to businesses it is relevant to. Lawful basis: our legitimate interests in promoting our service to businesses. You can ask us to stop at any time, and we screen phone numbers against the UK Corporate Telephone Preference Service. |
| You use our website or demo | Technical data such as IP address, browser type and pages requested, recorded by our hosting provider; and any address you type into the demo | To run, secure and improve the website. Addresses typed into the demo are sent to Google Maps Platform to find the location and roof data. Lawful basis: our legitimate interests in running a secure website. |
| You finish our demo with your own details | The name, email, phone, postcode and answers you enter, and the estimate shown | To email you the example estimate, the example follow-up emails and any booking confirmation, and to let us see who tried the demo so we can follow up about SolarFunnel. A copy is stored for 30 days so the booking link in the email works. Lawful basis: our legitimate interests in showing how our service works and responding to interest in it. We keep these details for up to 12 months unless you become a customer, and you can ask us to delete them at any time. |
When installers use SolarFunnel
When a solar installer uses SolarFunnel on its own website, the installer decides what homeowner information is collected and how it is used. The installer is the data controller for that information and we act as its data processor, handling it only on the installer's instructions and under a written agreement. If you used a quote tool on an installer's website, please see that installer's privacy notice, or contact the installer directly to exercise your rights.
Who we share data with
We do not sell personal data, and we do not share it for cross-context behavioural advertising. We use trusted service providers who process data on our behalf, including:
- Netlify: website hosting, form handling and short-term storage for the demo's booking links
- Resend: sending the demo's estimate and booking emails
- Google: Google Maps Platform for address search, maps and roof data
- Email, phone, calendar, payment and accounting providers we use to run the business
We may also share data where the law requires it, or to protect our rights.
International transfers
Some of our providers are based in, or process data in, the United States and other countries outside the UK. Where this happens, we rely on recognised safeguards such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.
How long we keep data
- Enquiries and prospects: up to 24 months after our last contact, unless you become a customer or ask us to delete it sooner
- Customer records: for the life of the contract, then up to 6 years for legal, tax and accounting purposes
- Website server logs: as kept by our hosting provider, usually a short period
Cookies and similar technology
We do not use advertising or analytics cookies on this website. Our demo stores a small amount of information in your browser's session storage, such as roof data for an address you've already looked up, so it doesn't have to be fetched again. This is cleared when you close the tab. Google Maps Platform, which powers the demo's map and address search, may use cookies or similar technology to provide its service. See Google's privacy policy. If we add analytics or other non-essential cookies in future, we'll ask for your consent first.
Your rights
Under UK data protection law you have the right to access your personal data, have it corrected or deleted, restrict or object to how we use it (including objecting to direct marketing at any time), and to data portability in some cases. To use any of these rights, contact us through our contact page. We'll respond within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk). We'd appreciate the chance to put things right first.
If you're in the United States
Depending on your state, you may have rights to know what personal information we hold about you, to have it corrected or deleted, and to opt out of its sale or use for targeted advertising. We don't sell personal information or use it for targeted advertising. To make a request, contact us through our contact page.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
